TITLE: WAREHOUSE SPECIALIST

QUALIFICATIONS:

  1. Possess a high school diploma or equivalent.
  2. Valid Arizona Driver’s License.
  3. Possess or have the ability to obtain a valid Arizona Identity Verified Prints (IVP) Fingerprint Clearance Card within forty-five (45) days of employment.
  4. Must possess strong organizational skills.
  5. Experience working in an office environment is required.  Experience working in a construction office environment is preferred.
  6. Experience in performing warehouse related duties is preferred.
  7. Understanding of inventory management is required.
  8. Any combination equivalent to training and experience that could likely provide the required knowledge, skills and abilities. 

JOB GOALS: 

The Warehouse Specialist performs a variety of tasks (purchasing, warehouse inventory management, fixed asset disposal, reconciliations of warehouse inventory to inventory management system), clerical and warehouse related work.  

 

PERFORMANCE RESPONSIBILITIES:

The following tasks are essential for this position.  This list is not inclusive of all responsibilities.  Individuals may not perform all of these tasks, or may perform similar related tasks not listed.

  1. Complies with all HIPAA and FERPA related confidentiality requirements.
  2. Develops positive relations with students, parents, school staff and the public.
  3. Maintains district warehouse system, including entering purchase requisitions utilizing district chart of accounts, ordering and receiving supplies and inventory from vendors,  adding inventory to system, processing and delivering orders to schools and departments, posting of warehouse journal entries and backorders, maintain warehouse catalog, ensure system is charging/crediting orders correctly.
  4. Prepare annual inventory of warehouse supplies.
  5. Ensure all items received in the warehouse that meet fixed asset criteria are tagged appropriately and in a timely manner.
  6. Receive all district shipments, reconcile items received to purchase orders, scan receiving documents and/or receipts and attach to purchase orders in the financial system.
  7. Contact shippers and vendors to resolve damages or deficiencies in receipt of goods.
  8. Manage the disposal of fixed assets in accordance with laws and policies, including preparation of governing board agenda items deeming items obsolete, placing obsolete items for auction or other approved means of disposal, and informing the Accounting Coordinator to retire the item from the financial system.
  9. Daily pick up of district mail from post office, prepare outgoing mail and deliver to post office, deliver incoming mail and packages to school/department sites, maintain adequate postage in the mail machine, coordinate mass mailings for schools and departments.
  10. Oversee and coordinate the storage and destruction of district records in accordance with the Arizona State Library of Archives and Public Records requirements.
  11. Evaluates the quality of products maintained in the warehouse seeking feedback from the end user, and adjusts inventory carried to ensure quality and affordability.
  12. Maintain Material Safety Data Sheets (MSDS) in accordance with OSHA regulations.
  13. Be physically available to accept shipments from vendors during warehouse hours.
  14. Initiates and tracks the return of items to vendors, including the replacement of damaged items received.
  15. Performs other related duties as assigned. 

MINIMUM KNOWLEDGE, SKILL AND ABILITY:

Knowledge of:

  1. District policies, operations and organization.
  2. Interpersonal skills including tact, courtesy, and diplomacy.
  3. Communication (telephone, email, etc.) etiquette.
  4. The proper use of the English language. 
  5. State procurement laws, rules and regulations.
  6. Modern office equipment and Google Suite applications (such as Google Forms, Sheets, Docs, Calendar, Slides), etc.
  7. Microsoft Excel. 

Skill and Ability to:

  1. Work cooperatively with others and provide a high level of customer service.
  2. Create effective relationships with District staff, vendors and the community.
  3. Establish work priorities to meet schedules and timelines.
  4. Work in a higher pressure environment.
  5. Operate modern office equipment including personal computers and related software and phone systems at the highest level.
  6. Create, analyze, and manipulate spreadsheets.
  7. Analyze and problem solve.
  8. Provide excellent customer service. 
  9. Keep accurate records.
  10. Prepares documents for sale and/or disposal of fixed assets.
  11. Reconcile all shipments to documentation.
  12. Inputs receiving documents into VISIONS.
  13. Contact shippers or vendors to report receipt discrepancies or shipment damage.
  14. Obtain forklift operator certification and utilize a forklift in daily warehouse operations.

  2. Requires the mobility to stand, stoop, reach and bend.  
  3. Requires mobility of arms to reach and dexterity of hands to grasp and manipulate small objects.
  4. Perform work which involves the frequent lifting, pushing and/or pulling of objects which may occasionally weigh up to 75 pounds.
  5. May be required to work around moving equipment.
  6. May be required to work around electrical current.
  7. Requires the ability to stand for long periods.
  8. Requires the ability to walk long distances.
  9. Occasionally subject to inside and outside environmental conditions. 

REPORTS TO: Director of Facilities

 

EVALUATION: Performance of this job will be evaluated annually by the Director of Facilities in accordance with the provisions of Governing Board policy in evaluation of classified personnel.

 

TERMS OF 

EMPLOYMENT: 12 months 

 

SALARY: Salary for the position is set according to the Classified Salary Schedule determined by the Governing Board
